Privacy policy
This policy explains how Lead Gems collects, uses, stores and protects your personal data when you visit leadgems.co.uk, contact us or work with us. If anything here is unclear, email hello@leadgems.co.uk.
1. Who we are
Lead Gems Ltd is a performance marketing and lead generation agency registered in England and Wales. Our registered office is at 55 Colmore Row, Birmingham, B3 2AA, and we also have an office at First floor, 3 More London Place, London, SE1 2RE. We are the data controller for the personal data described in this policy and are registered with the Information Commissioner's Office.
2. What data we collect
Data you give us
- Your name, email address and phone number when you fill in a form, book a call or download a guide.
- Your business name, website, sector, marketing budget and the answers you give in our forms.
- The content of any messages, emails or calls with us.
- Onboarding and intake information if you become a client.
- Billing details when you pay us, processed by Stripe and never stored by us.
Data we collect automatically
- Your IP address, browser, device and operating system.
- The pages you visit and how you move between them, through Google Analytics 4 if you accept analytics cookies.
- How you reached our website, such as the search, advert or link you clicked.
- Whether you opened our emails and which links you clicked.
Data from others
- Google, Meta and LinkedIn may share information about how you interacted with our adverts, under their own privacy policies.
- A partner or client who refers you to us may give us your contact details.
- For business-to-business outreach, we may obtain business contact details from publicly available sources.
3. How we use your data
- To reply to your enquiry and give you what you asked for, such as a guide, an audit or a call.
- To deliver our services to clients, including reports, updates and invoices.
- To send you occasional marketing emails when you ask us for a guide, a tool result, an audit, a call or a quote, under the soft opt-in for similar services. Every email has an unsubscribe link. To text you about your enquiry, if you give us a mobile number. You can reply STOP to any text.
- To contact business decision-makers about services relevant to their role, with an easy way to opt out in every message.
- To understand how our website is used and to measure our own advertising.
- To keep our forms free of spam and our systems secure.
- To meet our legal obligations and resolve disputes.
4. Our legal basis
- Contract: when we need your data to provide services you have engaged us for.
- Legitimate interests: to reply to enquiries, improve our services, protect our forms and contact businesses about relevant services. When you ask us for a guide, a tool result, an audit or a call, we also send you occasional lead generation advice by email. Every email has an unsubscribe link, and you can reply STOP to any text. We always weigh our interests against your rights.
- Consent: for non-essential cookies. You can withdraw consent at any time.
- Legal obligation: where the law requires us to keep or share data.

6. Cookies
Cookies are small files stored on your device. When you first visit, we ask which cookies you agree to. Only essential cookies are set until you choose, and rejecting is as easy as accepting.
- Essential cookies that the website needs to work, to protect our forms from spam and to remember your cookie choice.
- Analytics cookies from Google Analytics 4, to understand how visitors use the site.
- Marketing cookies from Google Ads, Meta and LinkedIn, to measure our advertising and show relevant adverts on other sites. You can allow each of the three separately.
- Maps: Google Maps sets its own cookies when a map of our offices loads, so the maps only load if you agree or click "Show map".

7. How long we keep your data
- Enquiries and contact details: two years from our last contact, unless you become a client.
- Client records: seven years from the end of our relationship, for tax and accounting purposes.
- Marketing lists: until you unsubscribe or we no longer have a reason to contact you.
- Website analytics: 26 months.
- Payment records: seven years, as HMRC requires.
8. Your rights
Under UK GDPR you have the right to:
- ask for a copy of the personal data we hold about you;
- have inaccurate data corrected;
- have your data deleted in certain circumstances;
- restrict or object to how we use it, including objecting to direct marketing at any time;
- receive your data in a portable format;
- withdraw consent where we rely on it.
To use any of these rights, email hello@leadgems.co.uk. We will reply within one month. If you are unhappy with how we handle your data, you can complain to the Information Commissioner's Office at ico.org.uk.
9. Security
We protect your data with encrypted connections, access controls and regular reviews of our tools and processes. No transmission over the internet is completely secure, but we work hard to keep your data safe.
10. International transfers
Some of our providers, including GoHighLevel, Google and Meta, process data outside the UK. Where they do, we rely on safeguards approved under UK data protection law, such as the International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses.
11. Changes to this policy
We may update this policy from time to time. The date at the top shows when it last changed.
